Privacy Policy

This Privacy Policy explains how TraceCapture (“TraceCapture,” “we,” “us,” or “our”) handles information when you use the TraceCapture Warehouse iOS application, our website, or a TraceCapture-hosted backend (collectively, the “Service”). TraceCapture Warehouse is a workplace inventory and chain-of-custody tool for restoration and warehouse teams.

Your employer or organization may provide your access to the Service and control the work records you submit. In that case, please direct questions about those records to your organization first.

Information we process

Depending on the features and deployment mode you use, the Service may process:

  • Identity and contact information — operator, customer, signer, vendor, or contractor names; email addresses; phone numbers; and work or service addresses.
  • Account and configuration information — account or backend identifiers, operator role, device name, language, app settings, backend address, and authentication credentials.
  • Work records — jobs, case references, inventory records, item descriptions and conditions, locations, quantities, QR/barcode/NFC identifiers, notes, signatures, attachments, and audit events.
  • Photos and documents — images captured with the camera or selected from the photo library and attached to items, orders, or custody records.
  • Location — precise GPS coordinates attached to an intake or work record when you grant location permission and the feature is in use.
  • Product activity — operational events such as scans, item moves, record edits, receiving, dispatch, and order completion, including the operator and time associated with an event.
  • Communications — information you choose to send when contacting us for sales, support, privacy, or other inquiries.

How we use information

We use information to:

  • provide inventory, scanning, navigation, reporting, synchronization, and chain-of-custody features;
  • authenticate devices and attribute work records to operators;
  • store, retrieve, export, and protect customer-directed work records;
  • operate, secure, troubleshoot, and improve the Service; and
  • respond to inquiries and comply with legal obligations.

We do not sell personal information, use it for cross-app tracking, or share it with advertising networks or data brokers. We do not use customer inventory, photos, or documents to train models offered to other customers.

iOS permissions and on-device processing

The app requests access only when needed for a related feature:

  • Camera — scan QR codes and barcodes, photograph items and documents, and provide AR warehouse navigation.
  • NFC — read and write warehouse tags when you start an NFC workflow.
  • Photo library — select existing images and save captured media.
  • Microphone and speech recognition — convert speech into text for item names and notes. TraceCapture does not retain an audio recording. Speech recognition may be processed by Apple depending on your device, language, and system settings.
  • Location — attach current coordinates to work records when available.

Item photo classification runs on the device. Live camera imagery and AR environment data used for scanning and navigation are not uploaded as environment scans by TraceCapture.

Offline, self-hosted, and hosted modes

In offline mode, structured records remain in the app’s local database and media remains in its device storage unless you export or share it. Removing local data or uninstalling the app deletes that local copy, subject to device backups managed by you or Apple.

In server mode, the app sends work records, searches needed to return results, photos, documents, signatures, location metadata, operator information, and authentication credentials to the backend configured in the app. If your organization operates that backend, its privacy and retention practices apply. If TraceCapture hosts the backend, we process the information to provide the Service to your organization.

Service providers and disclosure

We may use service providers for cloud hosting, object storage, email delivery, and website infrastructure. They may process information only as needed to provide services to us and are subject to applicable contractual obligations. Our website is served through Cloudflare, and website inquiries may be delivered through Resend. Hosted app data may be stored using AWS and S3-compatible infrastructure.

We may also disclose information when directed by the organization that controls it, when required by law, to protect rights and safety, or as part of a business transaction subject to appropriate safeguards.

Retention and deletion

Local data remains until it is removed in the app or the app is uninstalled. Information on an organization-controlled backend is retained according to that organization’s policy. On a TraceCapture-hosted backend, work records are retained for the term of the customer relationship and as needed for backups, security, dispute resolution, and legal obligations. Inquiry records are retained only as long as reasonably needed to respond and maintain appropriate business records.

To request access, correction, export, or deletion of information held by TraceCapture, email [email protected]. We may need to verify your request. If your organization controls the relevant work records, we may refer the request to its administrator.

Security and international processing

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted network transport for hosted services. No storage or transmission method is completely secure. Information may be processed in the United States or other locations where we or our service providers operate, subject to applicable safeguards.

Children

TraceCapture is a workplace tool and is not directed to children under 13. We do not knowingly collect personal information from them. If you believe a child has provided information to us, contact us so we can take appropriate action.

Changes to this policy

We may update this policy as the Service or legal requirements change. We will post the revised policy here, update the date above, and provide additional notice when appropriate.
